ContractPay Rate : $25 to $30 an hour on W2
Responsible for providing administrative and operational support to the HFTC Engineering Director, HFTC Operations Director, and their teams within a fast-paced research and development environment. Support includes calendar management, meeting coordination, finance tracking, reporting, presentations, travel arrangements, and communication across departments.
Key Responsibilities
Administrative & Executive Support
• Support the HFTC Engineering Director, HFTC Operations Director, and staff with daily administrative activities.
• Manage calendars, staff meetings, 1:1 meetings, reviews, deadlines, and scheduling activities.
• Coordinate appointments, meetings, travel itineraries, and event planning.
• Handle confidential administrative tasks using organizational policies and procedures.
Finance & Operations Support
• Generate purchase orders and process expense reports.
• Track department finances and reconcile spending differences.
• Interface with enterprise applications including HR, Finance, ERP, and other business systems.
• Coordinate with suppliers, executives, and cross-functional teams for operational activities.
Meeting Coordination & Communication
• Own internal and external meeting logistics and coordination.
• Attend meetings, take meeting notes, track action items, and communicate follow-ups.
• Prepare correspondence, reports, and presentation materials.
• Create PowerPoint presentations based on draft content and business data.
Required Skills
• Strong verbal and written communication skills.
• Excellent organizational and time management abilities.
• Ability to manage sensitive and confidential information with professionalism.
• Strong ownership mindset with ability to work independently.
• Experience with Microsoft Office Suite including Excel, PowerPoint, Outlook, and Word.
• Ability to analyze and organize data and create presentation-ready reports.
• Strong interpersonal skills with a collaborative and proactive approach.
• Resourceful problem-solving and multitasking capabilities in fast-paced environments.
